Find the next step for your medspa marketing
Share your website and the business problem you want to solve. I review local visibility, service-page clarity and the enquiry path before recommending a scope.
Medspa email marketing needs a defined audience, approved messages, and a team responsible for what happens after a reply or booking request. For an owner or administrator evaluating agency support, the useful proposal explains how the program will operate, how it will be checked, and which decisions remain with your clinic.
I’m Mandeep, founder of Sprout Sage Solutions. I discuss your priorities and the existing enquiry path before proposing work. My medspa marketing service explains the wider engagement. Email fees, software costs, responsibilities, and delivery commitments belong in a private written scope.
Define the purpose and approved audience
Start with the business question. You may want a clearer introduction for people who requested information, a clinic-approved newsletter, or a process for responding to existing subscribers. Each purpose needs its own audience rules and an appropriate next step.
Identify where contact records came from, what communication preferences are recorded, and which people the clinic approves for that purpose. Keep records with uncertain permission or incomplete preferences separate until your designated reviewer resolves them. An available email address alone does not define the audience for every campaign.
Clinicians decide clinical follow-up, treatment suitability, and care timing. An email calendar should follow approved instructions where care is involved. Record who supplies that information and who approves it before it enters a message or workflow.
Inventory systems, access, and responsibilities
List the sending platform, domain, website forms, booking system, and other proposed connections. Confirm what the existing configuration supports with your suppliers. Identify the accounts the clinic controls, the permissions an agency needs, and any additional licenses or integration work.
Assign a clinic reviewer for audience selection, a content approver, and a staff owner for replies and booking requests. One person may fill several roles, but the proposal should name the responsibilities and backup arrangements. Access approval and supplier dependencies affect what can be implemented.
Document what information would move between systems, why it is needed, where it will be stored, and who can see it. Your clinic’s reviewers and suppliers assess the actual configuration and applicable requirements. Keep identifiable patient information out of marketing enquiries and agency reporting.
Approve each message and its next step
A campaign brief should state its purpose, audience, approved offer or information, sender, reply destination, and desired administrative action. Identify the pages or booking routes it uses and check that the information matches the clinic’s current services and locations.
| Approval area | Decision to record |
|---|---|
| Audience | Which approved contacts are included, excluded, or awaiting review? |
| Message | Who checks service descriptions, offers, images, and any clinical content? |
| Next step | Does the link request information, request a booking, or confirm an existing action? |
| Replies | Who receives them, provides cover, and escalates questions? |
| Release | Who signs off the final content, recipient selection, and test results? |
Keep a version record for approvals and subsequent changes. A clinic-approved schedule still needs a process for correcting an outdated offer, removing an unavailable service, or pausing messages when circumstances change.
Keep preferences and suppression rules consistent
Agree how opt-out requests, changed contact preferences, and records excluded from sending are maintained. Identify the system that holds the authoritative preference and how changes are reconciled across connected tools.
Deduplicate contacts before defining recipients. Record what happens when one person appears in several lists or qualifies for overlapping workflows. Confirm exclusion rules before release and check that a paused or opted-out record cannot re-enter through another import without the clinic’s approved process.
Staff should know where preference corrections are recorded and who resolves conflicts. These are acceptance decisions for the proposed configuration, rather than assumptions that every supplier handles them identically.
Monitor delivery, errors, and staff handoffs
Ask which send statuses, delivery failures, and other exceptions the platform exposes. Agree how those records will appear in the report, who reviews them, and when the supplier needs to investigate. A platform’s recorded send status should retain its defined meaning.
Document failed connections, wrong routing, duplicate triggers, and replies awaiting action. Assign an error queue owner and cover. Explain retry rules, how staff can pause the program, and the manual process used while a connection or account needs repair.
Define completion for each task. A campaign release can be complete while individual replies remain unresolved. A booking request needs staff confirmation of its outcome. Keep those statuses separate so a completed send does not conceal unfinished reception work.
Test the complete route before acceptance
Use approved test contacts to check recipient rules, exclusion rules, message layout, links, reply routing, preference changes, and the resulting staff task. Test relevant phones and email clients, recording what was checked and any limitations.
Where safe testing is supported, examine duplicate events and interrupted connections. Confirm that the error appears in the agreed queue and that staff can continue manually. Record expected and observed outcomes, the reviewer, and corrective actions.
Agree who signs off content, data access, and operational readiness. The implementation schedule depends on those approvals and supplier work. Ongoing maintenance should repeat relevant checks when templates, integrations, or routing change.

Review outcomes with clear counting rules
Separate unique recipients, confirmed enquiries, clinic-defined qualified enquiries, bookings, and attendance. Follow the same deduplicated group through an agreed window. Record pending outcomes, repeat bookings, and uncertain source attribution.
A recipient may also see advertising, receive a referral, or contact the clinic through another route. State how sources overlap and avoid counting the same outcome several times in a combined total. Compare groups with similar maturity and definitions before changing the program.
Agree ongoing ownership and handover
Define who maintains templates, monitors failures, updates preferences, trains staff, and approves changes. Record account ownership, licenses, notice requirements, and available exports. Handover should include approved messages, configuration documentation, and unresolved tasks.
The medspa scope and budget guide helps compare agency work, software, projects, and internal time. Share your public website, role, current systems, and the business problem you want to address. I can discuss possible work and prepare a private proposal after the scope is agreed.
