Dental Marketing KPIs: A Dashboard Owners Can Audit

A dental marketing dashboard should help an owner decide where to act: visibility, enquiry handling, appointment availability or follow-up. Start with a small set of agreed definitions and show the evidence behind each number. A chart of website visits cannot explain why one location has open capacity while another is turning suitable enquiries away.

Considering ongoing marketing support? I run dental marketing agency services for practices like yours. I can discuss your priorities and possible scope. Fees, responsibilities, account access and handover terms are defined in a written proposal. Request a marketing review

This guide is for dental practice owners, group marketing leaders and operations managers reviewing agency performance. Use it to specify a report your team can reconcile with its own records before buying another reporting tool.

Start with the decisions you need to make

Write down the services and locations in scope, the appointment capacity the practice can support and who can approve changes. For a group, show results by location before combining them. A new acquisition, a change in opening hours or an associate joining the practice changes the context of a comparison.

Assign an owner to each stage: marketing visibility, enquiry response and scheduling. Clinical suitability and treatment decisions remain with the practice. The marketing report should make these responsibilities visible without turning clinical decisions into agency targets.

Define an enquiry before counting leads

Count a real person asking about a service separately from a form start, spam message, supplier pitch or existing patient’s administrative call. Agree how repeat calls and forms from the same person will be reconciled. Keep the raw contact count alongside the deduplicated count so the team can inspect the difference.

Then distinguish administratively qualified enquiries, booked appointments and attended appointments. Qualification can describe a requested service, location and reachable contact; it does not establish a diagnosis or suitability for treatment. Report unknown status explicitly instead of assuming that an unanswered follow-up became a lost patient.

Use a reporting specification your agency can explain

MeasureDefinition to agree
Search visibilityRelevant queries, pages and locations; branded and non-branded searches shown separately.
Valid enquiriesReal new-patient contacts in scope, with duplicates and excluded contacts visible.
Response coverageAnswered and missed contacts by operating period, with follow-up status.
Booking rateBooked appointments divided by a named enquiry cohort; pending records shown separately.
AttendanceAttended appointments from that booking cohort, with cancellations and reschedules distinguished.
Acquisition costDefined costs divided by the defined acquired-patient cohort, with attribution limitations stated.

These are reporting choices, not industry benchmarks. Agree the denominator, time window, exclusions and source for each metric in writing. A percentage without those details is difficult to audit and easy to misinterpret.

Keep acquisition, recall and treatment reporting separate

A returning patient responding to a recall message is different from someone contacting the practice for the first time. Both may matter commercially, but combining them can make acquisition appear more effective than the underlying records support.

If your practice reviews treatment acceptance or revenue, keep that in an appropriately controlled operational report. Ask the practice team to explain how it is defined and what the data can support. Do not equate a marketing enquiry with accepted treatment or assign all subsequent revenue to the last website click.

For related workflow decisions, review dental automation and follow-up scope. A reporting specification should describe what the workflow records before an integration is commissioned.

Make cost comparisons fair

Show media spend, agency work and agreed software costs separately. If you calculate a combined acquisition cost, state which of these costs are included. Do not compare a media-only figure at one practice with a fully loaded figure at another.

Enquiries and appointments may fall in different reporting periods. Review the same cohort as its status matures, rather than dividing this month’s spending by unrelated appointments. Mark attribution as unknown when the available records cannot establish the source. The dental SEO scope and cost guide can help structure the procurement discussion.

Require a monthly decision log

For each material change, record the observation, proposed action, owner and next review condition. For example, if relevant enquiries increased but bookings did not, first inspect availability and contact outcomes. That finding alone does not prove the advertising failed or that reception caused the problem.

Keep campaign changes, website releases, service availability and tracking interruptions beside the results. Compare completed periods and disclose incomplete records. For groups, use consistent definitions while retaining the local context that explains differences.

Questions to ask before approving a dashboard

Can we reproduce the totals?

Ask for a documented source and reconciliation method. Sample records within the practice’s approved systems, using appropriate access controls. A branded presentation is not a substitute for traceable totals.

Do we need a new platform?

First check whether the existing tools can provide the agreed fields. A new platform needs a clear gap to solve, an access plan and an owner for ongoing maintenance.

What should the agency commit to?

Ask for defined delivery, reporting responsibilities, known integration dependencies and correction procedures. A dashboard should support decisions; it cannot guarantee rankings, bookings or revenue.

Discuss your dental reporting scope

Share your practice website, role, number of locations and the decision your current report cannot answer. Describe the tools in use without sending patient records or account passwords. We can discuss whether a reporting and marketing review fits your requirements.
