Dental SEO Costs: Scope for Owners and Practice Groups

Dental SEO costs depend on the work your practice needs, the people responsible for it, and the capacity to keep that work moving. A quote for one established practice with a sound website covers a different job from ongoing support for a group with several websites, locations and clinical reviewers.

I’m Mandeep, founder of Sprout Sage Solutions. When I discuss an ongoing engagement, I start with your practice’s actual scope. I share my fees privately after that conversation. This guide helps you compare proposals and build a complete budget before you commit.

Start with your locations, clinicians and services

Give each supplier the same brief. List your operating locations, websites, clinician profiles and services available at each practice. Explain which services you want to support and whether the relevant teams can accept more appointments. Those details make a proposal more useful than a package labelled “dental SEO”.

A multi-location group needs a clear account of shared work and local work. Some tasks may serve the whole group; others need individual location information, profile access or approval. Ask how the supplier arrived at the scope and fee. A flat per-location multiplier should have an explanation, rather than being assumed to suit every group.

Service pages should reflect what a practice actually provides. Clinician biographies need accurate credentials and practice affiliations. Location pages need real contact details and useful information for patients. Before pricing content, identify which pages exist, which need revision and who can confirm the facts.

Compare the work inside the ongoing fee

I look for a practical division of work across the website, local profiles and content. A proposal should explain what the supplier will deliver, how priorities will be agreed and what happens when a dependency prevents a task from progressing.

  • Technical work: an assessment of access and website issues, with named responsibility for implementing fixes. Establish whether development is included or separately quoted.
  • Local profiles: the locations and profiles covered, the information to maintain and the access required. Clarify who supplies updates when hours, staff or services change.
  • Content: the pages to create or improve, the research and drafting involved, and the review process. Define what a completed page includes.
  • Internal links: useful routes between relevant location, clinician and service pages, based on the practice’s real offering.
  • Measurement: agreed enquiry definitions, reporting access and a process for discussing results with the people handling appointments.

A list of deliverables also needs a delivery process. Ask who will manage the work, how changes are approved, and how unfinished priorities carry forward. “Monthly content” leaves too much open if nobody has agreed which pages matter or who will review them.

Keep the budget lines separate

How visible are you in local search?

Answer 5 quick questions. Get your score + the top fixes, free.

1. Is your Google Business Profile claimed and fully complete?

2. Do you have 25+ recent reviews?

3. Do you rank in the top-3 map pack for your service?

4. Does your site have dedicated city/service pages?

5. Do you respond to new leads in under 5 minutes?

The agency fee is only one part of the budget. Request separate lines for ongoing agency support, any optional paid-media management, advertising spend, software and one-off projects. A website rebuild, migration or major development task needs its own defined scope if it sits outside the ongoing engagement.

Software might include reporting or call measurement tools. Ask which subscriptions are required, who pays for them and who controls the accounts. For advertising, distinguish management charges from the money paid to the advertising platform. That makes proposals easier to compare and prevents a larger combined total from disguising a smaller service scope.

Include internal time too. Someone needs to supply practice information, approve clinical content, update availability and reconcile enquiry outcomes. Budget discussions should account for that work even when it does not appear on the supplier’s invoice.

Agree what stays with the practice

I can research, draft and organise content, but the practice should retain responsibility for clinical accuracy, clinician credentials and final clinical approval. Name a reviewer and a backup. Establish how proposed wording, images and service claims reach them before publication.

The supplier’s responsibilities should be equally explicit: preparing agreed work, explaining recommendations, implementing included changes and reporting on the agreed measures. Identify who handles hosting, development and profile access. These responsibilities may sit with different people, particularly across a group.

Scheduling capacity matters to the scope. Your reception or central booking team should explain which locations and services can take enquiries, how calls are handled and what counts as a suitable appointment request. Feed changes in capacity back into the work plan.

Measure enquiries through to attendance

Agree a reporting cohort before using results to assess the fee. For example, follow enquiries first received during an agreed period and record their later booking and attendance outcomes. Keep the definitions consistent as those outcomes develop.

Track enquiries, qualified enquiries, booked appointments and attended appointments as separate stages. Define qualification with the practice. Record duplicate contacts once, and agree how spam, supplier calls, existing-patient administration and other exclusions are handled. Explain attribution limits where the source cannot be established reliably.

Reviews can provide context about patient experience and local presence. They do not establish the clinical suitability or financial value of a treatment. Avoid assigning a treatment value to every enquiry or treating every booking as an attended appointment.

Confirm access and handover terms

Identify the account holder for the domain, website, local profiles and reporting subscriptions. Confirm what access the practice retains, which assets can be transferred or exported, and any dependencies on another supplier. Ask for current written setup, renewal, cancellation-notice and handover terms. Do not assume a package label settles those obligations.

Discuss a scope you can evaluate

Google’s SEO Starter Guide explains that changes can take different amounts of time to show an effect. I would not use a fixed impact deadline as the basis for a purchasing decision. Agree delivery responsibilities and review points, then assess progress alongside the evidence available.

People also ask

Can a dental practice handle SEO internally?

A practice can assign work internally, use an agency or divide responsibilities. Compare the available time, skills, review capacity and ongoing maintenance required for the agreed scope. Name who approves clinical information, manages profile changes and reconciles inquiry outcomes. Do not assume either arrangement is automatically cheaper.

Does location change the scope of dental SEO?

The actual offices served, services offered, existing website and local search competition can change the work required. Ask a provider to explain the additional work in its proposal rather than relying on a universal city premium. Shared tasks and work specific to each location should be identified separately.

How should a practice evaluate an SEO ranking guarantee?

Ask for deliverables the provider controls and clear reporting definitions. A provider cannot control Google search results. Review the scope, ownership, access, exclusions and handover terms; track qualified inquiries and attended appointments separately from rankings and website events.
