Orthopedic Physician Liaison Programs: Scope and Measurement

An orthopedic physician liaison program should make it easier for referring offices to understand your services, reach the right staff, and resolve administrative questions. Owners and administrators need a scope that connects relationship activity with the referral reception process and explains what the records can support.

I’m Mandeep, founder of Sprout Sage Solutions. I can discuss the public service information, contact routes, and reporting work behind the program. My orthopedic marketing service explains the wider engagement. Fees, deliverables, access, and ongoing responsibilities are defined privately in a written proposal.

Approve the service and access information

Confirm actual locations, surgeon services, appointment routes, contact details, and current access arrangements. Identify the practice owner for updates so the liaison is working from approved information rather than an outdated brochure or informal assurance.

Clinical referral decisions, assessment, and treatment remain with the referring and receiving clinicians. The liaison can explain approved administrative routes and bring questions back to the practice. Clinical advice and decisions about suitability belong with the designated clinical team.

Agree who verifies information about accepted plans, referral documentation, appointment availability, and service limits. A liaison should know where to route uncertainty and what reception can confirm before describing the next step.

Build a practice-owned contact directory

Identify the referring practices and approved professional contacts the program will maintain. Record location, role, contact route, source of the information, and the person responsible for keeping it current. Separate a practice account from its individual staff contacts.

Agree permissions for the directory, contact preferences, and who may update or export records. The practice approves the relationship plan, communication purpose, recipients, and information to be shared before those records are used.

Prioritize relationship questions using the practice’s actual experience: an office may need updated service information, a clearer administrative contact, or help resolving an access issue. Validate those reasons before interpreting a change in referral counts as a relationship problem. Use the declining physician referrals diagnostic to investigate the change before choosing a response.

Give each liaison contact a purpose and a log

Define what a visit or communication is intended to achieve. It might confirm an office contact, explain a revised referral route, collect questions about scheduling, or check whether previously supplied information remains accurate.

Logged visits and communications describe activity. Unique referring practices describe relationship coverage. Neither count establishes new patient business. Keep those measures separate from received referrals, patient enquiries, bookings, and attendance.

Connect the relationship work to reception

A referring office needs a reliable administrative route for a request and a way to raise an unresolved question. Document the approved channels, who receives each one, and how reception confirms receipt and records the next step.

Agree statuses such as received, awaiting information, routed for clinical review, contacted, booked, attended, or closed with a recorded reason. The practice approves their meanings. A request awaiting review should remain visible rather than appearing as a completed handoff.

Closed-loop administrative communication means the relevant office receives the approved status information through the practice’s agreed process. Document what may be shared, with whom, and through which system. Practice reviewers approve the data flow and access; clinical correspondence remains under their control.

The orthopedic intake guide helps review reception ownership, pending work, and outcome recording.

Make failures and manual handling visible

Identify the owner and cover for missing information, duplicate requests, incorrect routing, failed delivery, and unanswered office questions. Keep unresolved items in a queue with an action owner and a recorded status.

Confirm how staff continue manually if a referral route or system connection is unavailable. Document the fallback destination, supplier escalation, reconciliation of pending requests, and authority to restart. The liaison should know how to report a problem without taking over clinical decisions.

Account ownership and permissions need to reflect the practice’s responsibilities. Specify which suppliers maintain connections and which staff can approve changes. Keep patient records and identifiable clinical details out of agency enquiry forms and marketing reports.

Follow referrals with consistent cohorts

Count unique received referral requests using a practice-approved deduplication rule. A repeat request concerning the same referral may be an update rather than another acquisition. Distinguish existing-patient referrals and repeat episodes from first-time patient enquiries.

Follow the received cohort through administrative qualification, booking, and attendance within an agreed window. Show pending and unknown outcomes. Count each defined referral episode once at each stage; state how patient-level totals are deduplicated when combining episodes.

A referred person may also search for a surgeon or see an advertisement. Preserve the reported referral source alongside observed digital sources. Relationship activity preceding a referral does not establish that the liaison caused it. Compare mature cohorts and document changes in services, capacity, or recording.

The orthopedic KPI guide helps define measures. Use the acquisition cost worksheet to agree salary, agency work, travel, systems, internal time, and shared-cost allocation. Finance determines the appropriate cost basis and economic interpretation.

Specify agency delivery and acceptance

Possible deliverables include approved referral-information pages, contact-route checks, a directory structure, liaison log, status definitions, and aggregate reporting templates. The proposal should name the included work and who supplies and approves it.

Test receipt, routing, status recording, staff access, approved updates, and manual fallback using approved test details. Keep expected outcomes, observed failures, and resolution owners. Practice sign-off establishes whether the agreed administrative process works.

Document maintenance, change approval, notice, and handover. Include available exports, account permissions, information versions, and unresolved questions. Share your public website, role, locations, and the relationship or referral-reception problem you want to investigate.
