Website automation means the leads your site already produces get an answer in minutes, a booking link, and a follow-up if they go quiet, without anyone on your team having to remember. For most local businesses it is the cheapest growth available, because it recovers people who already wanted to buy.
I build these systems for med spas, dental practices, law firms and home service companies. Below is what I automate, how a project runs and what it costs.
Why speed decides who gets the customer
The research on this is blunt. The Lead Response Management study, run with Professor Oldroyd at MIT using data from InsideSales.com, found “a staggering 21-fold decrease in the odds of qualifying a prospect if the response time stretched from 5 to 30 minutes.”
Twenty-one times. That is the gap between a business that replies at once and one that replies after lunch. Most small teams cannot reply in five minutes by hand, especially evenings and weekends. Automation can.
What I automate
| Automation | What happens |
|---|---|
| Instant reply | Every form gets a real response within a minute, with a link to book |
| Missed-call text back | A caller you could not answer gets a text straight away |
| Online booking | Visitors pick a time themselves instead of waiting for a callback |
| Follow-up sequences | People who do not book get a short series of reminders |
| Lead routing | The right person is notified the moment a lead arrives |
| Review requests | Happy customers are asked for a Google review after their visit |
| Lead attribution | Each lead is tagged with the page, ad or search that produced it |
Every one of these connects to the tools you already use where possible, such as your booking software, CRM or email.
A project from start to finish
It starts with a map of what happens today when someone fills in your form or calls after hours. That step alone usually finds the gap that is costing you the most.
Then I build the automations, test each one with real submissions and hand you a one-page summary of what runs, when and why. Most projects go live in two to four weeks.
This month I built lead attribution for an orthopedic practice, so every call and form now shows which ad or page produced it. Before that, the practice could not tell which of its marketing actually worked. That kind of visibility is part of every build, because automation you cannot measure is guesswork.
What it costs
As listed on my pricing page, automation projects start at $2,000, plus $400 per month to run, monitor and adjust them. You get one number in writing before anything starts.
For bigger AI projects, such as chat assistants trained on your own services or automated intake, see AI automation for small business.
Who it is for
It fits any business where leads arrive through a website, phone or social media and someone then has to follow up. It pays for itself fastest where each customer is worth a lot, like a treatment plan, a legal case or a roof.
It is not useful if you get fewer than a handful of inquiries a month. In that case the first job is getting more of them, and I will tell you that on the call.
Questions owners ask
Will automated replies feel robotic to customers? They should not. I write them in your voice, keep them short and hand the conversation to a person as soon as the customer replies.
Do I need new software? Usually not. I start with what you already pay for and only add a tool if there is a clear gap.
What if something breaks? Monitoring is part of the monthly fee. If a form or a text flow stops working, I fix it.
Can you connect it to my booking system? In most cases, yes. I will confirm on the call once I know which system you use.
Book a free 30-minute review and I will show you where your leads are slipping through today.
